Give recurring customer work a clear home.

Start with the task that is becoming difficult to manage through messages and attachments.

Choose the recurring exchange worth bringing out of email

A customer area can be useful when an Italy-based distributor repeatedly sends approved documents to installers or trade customers. The first question is which information needs a shared home, not how many portal features can be added.

A document-workspace example

Imagine a trade customer with two contacts: one checks current product sheets and another handles commercial requests. They may belong to the same organisation without needing identical access. The workspace can separate those tasks and identify the version of a document currently offered.

When a colleague leaves, access should change without moving every company record to a new personal email address. Invitations, the last administrator and the recovery route need deliberate decisions. A common password is not a workable substitute for modelling those relationships.

What must be settled before the build

Identify the documents, the person approving them and the staff responsible for a customer's question. Use anonymised examples to assess access and corrections. Retention, personal-data handling and contractual requirements need the appropriate owner and specialist review.

We can build the agreed customer view and staff workflow. Acceptance should include a new contact, a removed contact and a superseded document, so the result supports ordinary changes of people and information. Describe the exchange your team repeats and the confusion it creates today.
